The «Finance» section shows how much the company really earned: income from received payments, expenses by category, net profit and margin. You can see how much each program and each client brings in. The section is currently available for the «Food service: healthy meal delivery» business type.
Who can see the section
- The CRM owner always sees «Finance».
- Staff see it only if the owner turns on the «Views finance» permission in «Settings → Team and permissions». It is off by default for every role, including the administrator.
- All staff see programs: they pick them in deals. Expenses and profit are visible only with the permission.
Step 1. Add your programs
- Open «Finance» and click «Program» in the «Programs» block.
- Enter the name (for example, «Tonus»), the price and how many days the course lasts (for example, 14).
- Click «Save». Add the other programs the same way: «Slim», «Detox» and so on.
Archive a program you no longer sell: it cannot be picked in a deal, and past sales stay in the report.
Step 2. Pick the program in the deal
- Open the deal. In the «Meal program» block choose the program.
- Check the «Course start». It is today by default, you can change it.
- The CRM calculates the last day of the course and saves it to the client card in the «Course until» field. If the deal amount was empty, the program price is filled in.
Step 3. Enter expenses
- In «Finance» click «Add expense».
- Enter the amount, the day and the category: groceries, packaging, delivery, staff pay, rent, advertising or other.
- If the expense is for one program, choose it. If it covers all of them (kitchen rent, packaging for everyone), keep «Common expense».
- Add a note, for example «chicken and grains for the week», and save.
To edit or delete an expense, click it in the «Expenses» list.
What the section shows
- Income: money actually received for paid deals. Installments and debts count as each part is paid, on the day of each payment.
- Expenses: everything entered for the period.
- Net profit: income minus expenses. Margin: profit from every $0.22 of income.
- «Income and expenses» chart by month for the last six months, with each month's profit below it.
- Programs: sales, income, expenses, profit, profit per client and margin of each program. Expenses entered for a program go to it, common expenses are split by share of income.
- Clients: who brought in how much and the approximate profit from each.
Choose the period at the top: this month, last month, 3 months or this year.
Course end reminders
The home screen has a «Courses ending soon» card: whose last day is today, in 1–3 days, or whose course ended in the last 3 days. Click a client to open their card and offer a renewal.
«Robots → Client dates» has the «Date from the client card» robot. It runs by the «Course until» field: on the day itself, 1–30 days before it or 1–30 days after, at the chosen time in the company time zone. The robot can message the client in WhatsApp, set a task for a manager or notify the team.
The business type already has ready-made robots:
- 2 days before «Course until», the task «Offer to renew the course» (on);
- on the last day, the message «Course is ending» to the client (off: choose a line and an approved WhatsApp template, then turn it on);
- 3 days after «Course until», the task «Win the client back» (on).
If the course is renewed and «Course until» changes, the reminder follows the new date.
FAQ
Why is income lower than the total of paid deals?
Only received money counts as income. If a deal is paid in installments or on credit, unpaid parts become income when you mark them as received.
Can I leave the program empty for an expense?
Yes. Such an expense is common: it is subtracted from profit and split between programs by their share of income.
Where do I change the course end date manually?
In the client card, in the «Course until» field. The robot and the «Courses ending soon» card pick up the new date right away.
